Recognition data carries real compliance weight

Under CCPA and similar state privacy frameworks, an employee's name in a customer review can qualify as personal information — especially when stored, linked to a work record, and used in performance management. OpsScaleIQ's Staff Recognition Toggle is designed around the principle that recognition should be a choice, not a side effect.

How the toggle works

  1. 1Default state — Staff Recognition is disabled by default for all new organizations. No staff mention data is ever stored without an explicit opt-in.
  2. 2Admin opt-in — An Owner or Admin navigates to Settings → Privacy & Compliance and enables the toggle. A confirmation dialog surfaces a plain-language CCPA notice.
  3. 3Data flows — From that point forward, the AI extraction pipeline stores detected staff names linked to review IDs and location IDs. The Recognition Feed becomes visible to managers.
  4. 4Opt-out at any time — Toggling off purges all stored recognition data within 24 hours via a background deletion job. A purge confirmation is sent to the admin by email.

Staff Recognition from Reviews

When enabled, staff first-names mentioned in positive reviews are extracted and surfaced in the manager Recognition Feed. This data is classified as employee PII under CCPA.

The Recognition Feed in practice

When enabled, managers see a dedicated “Staff Shout-Outs” panel in their dashboard populated with real customer quotes. “Our server Marcus made the whole experience” → Marcus gets a shout-out card that a manager can copy to a Slack channel, add to a performance review, or share at a team meeting.

This is recognition grounded in customer evidence — not manager subjectivity — which makes it legally defensible in performance documentation and genuinely motivating for staff.

Why the default is off

Some franchise systems operate across multiple U.S. states with different definitions of employee PII. Some have union agreements restricting performance data collection. By defaulting to off and requiring explicit consent, OpsScaleIQ ensures you're never inadvertently collecting data that needs legal review before use — whether you have 2 locations or 200.

Name Extraction from Reviews

The triage AI automatically detects first-name mentions in positive reviews ("Ask for Marcus — he was incredible!") and links them to the location's staff recognition feed.

Org-Level CCPA Master Toggle

A single Owner/Admin-only toggle in Settings. When OFF, no staff name data is stored, indexed, or shown anywhere in the platform — retroactively purging any existing entries.

Recognition Feed for Managers

When enabled, store managers see a weekly "Staff Shout-Outs" feed populated by real customer reviews. One-click to share with the team or attach to a performance note.

Retroactive Data Purge

Toggling the feature off automatically queues a background job to delete all stored staff mention records from both the primary database and analytics aggregates.

Granular Location-Level Override

Franchisors can enable recognition org-wide but allow individual location managers to opt that location out — respecting state-by-state or franchise-by-franchise policy differences.

Audit Log Entry on Toggle

Every enable or disable action is recorded in the Immutable Audit Log with timestamp, user ID, and previous state — full traceability for legal and compliance teams.
